Privacy Statement
This Privacy Statement explains how the International Conference on Education Innovation and Learning Transformation (InnoTeach 2025) organized by Universitas Muhammadiyah Prof. DR. HAMKA (UHAMKA) collects, uses, shares, and protects personal data related to conference activities, including website visits, abstract and paper submission, peer review, registration, payment, onsite/online attendance, and post-conference dissemination.

Registration & payment data: ticket type, invoice details, proof of payment, VAT/tax details (if applicable).

Attendance data: session choices, presentation schedule, photographs/screenshots, audio/video recordings of sessions (for hybrid/online events).

Communications: inquiries sent to the secretariat, consent preferences, and feedback forms.

2) Purposes of Processing

provide onsite/online access (badges, room lists, Zoom links, attendance);

ensure quality, safety, and integrity of the conference (anti-spam/abuse checks);

produce non-identifying statistics for reporting and improvement;

comply with legal and tax obligations.
3) Legal Bases
Depending on the context, we rely on one or more of the following lawful bases:

Contractual necessity – to process submissions, registrations, and payments at your request.

6) International Transfers
Because InnoTeach 2025 involves international participants and third-party providers, your data may be processed in countries other than your own. We take appropriate safeguards (contractual and organizational) to protect personal data during such transfers.
7) Data Retention
We retain personal data only for as long as necessary to fulfill the purposes described above:

submission and peer-review records: up to 5 years after the event (or longer if required by publishing partners),

registration, payment, and invoices: up to 7 years to meet accounting/tax obligations,

communications and support tickets: up to 2 years,
-
photos/videos for documentation: up to 5 years unless consent is withdrawn sooner.
After the retention period, data are securely deleted or anonymized.
8) Security
We implement technical and organizational measures to protect data against unauthorized access, loss, misuse, or alteration. While no method of transmission or storage is completely secure, we continuously improve our safeguards and limit access to authorized personnel.
9) Your Rights
Subject to applicable laws, you may have the right to:

restrict or object to certain processing,

10) Children’s Data
InnoTeach 2025 is intended for adult professionals and students 18+. We do not knowingly collect personal data from children. If you believe a child has provided data, please contact us so we can delete it.
11) Photos, Recordings & Publicity
By attending the conference (onsite or online), participants may appear in photographs, screenshots, or recordings used for documentation and non-commercial publicity related to InnoTeach 2025. Where required, we will obtain consent or offer opt-out mechanisms.
